Agreement

Terms of Agreement represent a contract between RB External Cleaning Solutions and the Client.

The Client agrees that engaging RB External Cleaning Solutions, including verbally placing an order for services when meeting or by telephone or email and/or website or any other communication medium shall constitute the Client’s acceptance of these Terms and Conditions.

Unless otherwise agreed in writing by RB External Cleaning Solutions, these Terms and Conditions shall prevail over any other Terms of Business or Purchase Conditions put forward by the Client.

No variation or alteration of these Terms and Conditions shall be valid unless approved in writing by RB External Cleaning Solutions.

RB External Cleaning Solutions retain data from customers in the form of Name and relevant contact details. This information is for the use of RB External Cleaning Solutions and will not be sold or passed on to third parties.

Our Services

RB External Cleaning Solutions will provide to the Client a professional quality-assured Cleaning Service at an agreed cost.

We provide the following services: One-off or 6 weekly Regular window cleaning, Gutter Cleaning, Patio & Driveway cleaning & Conservatory restorations

Due to the nature of window cleaning with the water fed pole, we advise customers that the best results come after the first two or three cleans. During the first clean, we remove a build-up of dirt that may have accumulated over time. However, although the windows have been well cleaned within the initial clean, small amounts of dirt may continue to trickle down, and there may be a few spots afterward.

Over the next couple of cleans, when done regularly, the window cleaning reaches the best standard. We do, therefore, recommend allowing two or three cleans to get a full picture of the good results that can be expected. However, we do try to aim for this within the first clean. Tough stains such as bird droppings on sills and frames may take two or three cleans to completely disappear due to acidity in the excrement.

Due to us using a pure water system, the windows will not require any form of manual drying as the water will dry smear-free. We will, however, go around the lower levels and remove most of the water via squeegee to speed up the natural drying process unless these lower windows are not accessible by hand due to location.

If there is any smearing on the windows once we have cleaned it may be due to lime scale from hard water that has settled on the windows prior to us coming to clean. As we will do all we can to remove this sometimes it will still be on the windows after the clean, if it is, please inform us of this and we will be happy to take procedures on the next clean to remove this. This will not be a requirement for us to come back to rectify for free.

All services except window cleaning are based upon a one-off service, whereas the regular window cleaning is scheduled as a 6 weekly cleaning services.

RB External Cleaning Solutions will remain courteous and professional at all times.

Regular 6 Weekly Window Cleaning & Compliment Services Within

RB External Solutions provides a 6 weekly regular window cleaning service

We are providing a 6 weekly service to ensure that your property is maintained and kept looking amazing throughout your service with us and we do expect you to keep within the agreement set out on the website, skipping for any other reason apart from moving house or major ground or external building works is not acceptable and you will be charged in full for your skipped clean, we do work in all weathers and we will decide if it’s not suitable to work in.

You will be required to have a minimum of 3 cleans before any cancellation of the services can be requested. The balance for the total price of the 3 cleans will become payable in full should you cancel our services before the 3 cleans have been completed.

A regular clean will be priced up accordingly and will consist of all windows, doors including all frames and sills ONLY, customers on a 6 weekly clean may also receive additional services complimentary such as, but not limited to lower gutter, fascia and garage door clean within the service, customers already on the old schedule using the 12 weekly scheduled clean will not benefit from these additional services.

The 6 weekly regular cleaning services are bound by a verbal agreement and upon agreeing to use our services you are agreeing to all terms set out here-within.

As these additional service are complimentary and not calculated within the price of your clean they may be withdrawn at any time without prior notice and upon this it will not affect the agreement you have with us regarding your scheduled clean.

A 30 day notice period is applicable upon cancelling the regular cleaning service.

An initial cleaning cost (First Clean) may be up to 4 x the cost of a standard clean which will be agreed prior to any work carried out and will be provided in writing to you.

6 weekly schedules will be at the agreed prices

Customers on the old schedule of 12 weeks will have a an additional increase of up to 50% of the 6 weekly schedule costs

One-off Window Cleaning Services

Any services not within the 6 weekly regular cleaning services will be treated as a one-off even if it is booked in on a repeat clean for example 6 monthly clean. These cleans will be subject to the initial cost that was agreed upon quotation,

Any ad-hoc/one off services such as detailed cleans and house move cleans will be charged accordingly depending on the amount of work required, Viewing will be required.

Payments Due & Late Fee Charges

All payments must be paid within 7 days of the cleaning date for all services, to ensure this happens we would prefer for you to pay for a regular window clean via bank transfer to the account provided. We accept payments by cash or bank transfers, Reminders will be sent out after this period.

If non-payment exceeds 6 weeks when your next clean is due the a late payment charge of £5.00 per clean will be added to the next invoice to cover and additional administrative costs for breach of agreement.

Please remember that RB External Cleaning Solutions is a business and as we are providing a service that you have requested you are then liable for the charges incurred.

Should you fail to pay your invoice within the stated times above and the invoice continues to be unpaid for a further 6 weeks RB External Cleaning Solutions reserve the right to suspend your cleaning and replace your cleaning slot on the round with another customer. If we then fail to receive monies owed within a further 6 weeks, we have the right to contact a collection agency to recover the debt, you will be liable for all related transfer charges of £120 plus collection agency fees, and court-related fees which will start at an additional £180 plus any VAT applicable via a third party (We will not charge you VAT on any of our charges), plus any outstanding balance, including any charges incurred.

Should you dispute an outstanding invoice and claim to have made payment, the onus is on you to prove payment has arrived and cleared.

As we are very busy and there is a lot of traffic through the company bank account, we may miss a payment made by you. In order to ensure we do not miss a payment, you must make sure that you put your first line of your address as the reference and NOT YOUR NAME.

Weather

Our pure water systems work in all weathers not just the sunny days; we do work in all weathers and in the winter periods, we use hot water to help remove any stubborn marks and secretion from windows, therefore, weather conditions are NOT an acceptable reason for postponing our services.

We offer an all-year-round regular service. We will clean your property in all weather conditions, including certain rainy conditions and very low temperatures. High winds, heavy rain, and deep snow do affect our services & schedule, but you will be notified should we not be able to complete the service on the scheduled day, we will arrange an alternate day within the week or let you know that we will be missing this clean out.

Communication for Service & Ease of Access

The day prior to your clean you will receive a text message letting you know; this is to remind you that we need access to all areas of your property externally. If we be unable to access any part of your property due to locked gates, we will only clean the accessible areas such as the front & sides and full payment will apply.

If we deem it safe to do so our operators will from time to time gain access to your property by unlocking your access gate or climb over your gate/garage, this is an automatic agreement between RB External Cleaning Solutions and the client when they choose to use our services. If you do not wish us to do this, please inform us so we can put it on your records.

Due to our busy schedule, we would not be able to return to your property to complete missed areas, it is up to you to ensure there is access on the day.

To avoid providing us with limited access please ensure that we have your correct mobile phone number for our SMS text reminder service which we send out the evening before each visit.

Due to insurance liabilities we will be unable to move obstacles such as but not exclusive to: flowerpots, garden furniture etc. If these or any other items restrict access to an area of your property, we will be unable to clean it.

Unfortunately, due to our insurance policy, we do not bring our water hoses through your property. We do offer a “front windows only” service for properties with no rear access.

Cancellation of Schedule or Complete Agreement

As we work outside and do not require access to the internal areas of your property there would be no valid reason to cancel your scheduled clean which you have agreed upon.

If you do cancel your scheduled clean we kindly ask that you provide us with at least 12 hours’ notice of the day of your clean, you can send an SMS text or Whatsapp message to 07707 095555. You however will be charged accordingly and will be applied to the cost on the next scheduled clean.

If we arrive on the day and you cancel without notice you will again be charged in full for that clean.

If you cancel your regular clean 3 times in any 12 month period then we will cancel your agreement with us and will remove you from the system and any cancellation fees & charges will apply, should you wish to continue using our services the initial cost of cleaning your windows will, therefore, apply again.

If you wish to cancel our services, you must provide with 6 weeks’ notice via SMS text or Whatsapp message before the next scheduled date. Failure to do so will result in a 100% charge for any work scheduled within this period.

Alterations & Amendments by RB External Cleaning Solutions

We are happy to supply a schedule of visit dates for our domestic customers; however, this is a guide indicating the week commencement date when we plan to visit, we cannot be held to a specific date or time.

Giving factors such as annual & public holidays, extreme weather, staffing levels, etc. it is not always possible to supply an exact date, we will, however, aim to ensure your regular 6 weekly clean still continues without too much time between cleans.

Staff holidays, sick leave and bad weather can affect our schedule. Also at the end of each year, we optimize our rounds, your last clean of the year or your first clean of the new-year may be early or later than usual. Please allow some flexibility.

Damages

Our window cleaners do not accept liability for damage caused by decorative or structural defects at your property, such as, but not limited to, ill-fitting windows, doors, fascia’s, guttering, window/conservatory trims, unsecured windows and doors, leaking seals, loose stuck-on lead, decorative bars stuck on glass, rotting frames, flaking paint, open/broken trickle vents, etc.

Our window cleaners accept no liability for decorative bars coming loose or falling from the exterior of the glass. If these bars are correctly installed our brushes will not damage them in any way. If they do become loose or fall off it’s because the adhesive is not bonding correctly with the glass. This is because over time the double-sided tape used to stick the bars to your glass loses its adhesion.

Scratched window sills: Over time your UPVC window frames will start to oxidize and slowly lose their colour. Your windows sills will be the most affected. When we are cleaning your windows our brush head which is made from soft plastic with nylon bristles may remove some of the oxidation. This may look like scratches but in fact, it’s just where the grey oxidation has been removed. We will not be held responsible for returning your windows back to “as new” condition unless that is the service you are paying for and within our ability.

Scratched glass: The brushes we use are specifically designed for window cleaning and are made of a soft plastic head stock with nylon bristles. There is nothing on the brush which can scratch your glass. There are no metal parts on the brush. If you feel that we have caused damage to your glass we will bring over a brush and ask if you can scratch the glass again. If you succeed we will pay to replace the glass.

Unfortunately, due to our insurance policy, we do not bring our water hoses through your property or climb over fences. We do offer a “front windows only” service for properties with no rear access.

Health & Safety

RB External Cleaning Solutions takes all issues of Health and Safety seriously.

This includes the wellbeing of its Clients, Operatives, Staff, Customers and members of the General Public.

Prior to commencing work, a Risk Assessment and Method Statement will be carried out in line with RB External Cleaning Solutions Health and Safety Policy.

If we deem any conditions unfit or hazardous, work will not continue until conditions are improved.

This specifically refers to [but is not limited to] Hazardous Areas due to Construction Work or Stored Materials, Broken Fences and Perimeters, Overgrown Trees and Plants, proximity to dangerous Chemicals or Fuels or other corrosive substances, surfaces made dangerous by eg Algae, Moss etc.

Areas that are inaccessible will not be cleaned.

Our Operatives are trained to work safely, and if asked will not undertake work that is unsafe.

All items or obstacles should be removed by the Client from the areas RB External Cleaning Solutions Operatives need to access.

Our Operatives need reasonable access to perform their duties safely.

24 Hour Guarantee

RB External Cleaning Solutions offer a 24-hour guarantee against any work carried out.

If you are not 100% satisfied we will come back and re-clean for free.

To book a free re-clean phone or leave a message for us to call you and we will rebook it in.

A call-out charge may be applied if we return to clean and we find it’s the inside of the windows that are dirty or the double-glazed unit has failed and the dirt is on the inside of the unit.

We will not come out as a result of dirty or discoloured frames.

Achieving optimum cleaning results may require a few cleans.

For example, detergent residues from previous traditional window cleaning methods may initially cause slight spotting.

Leaching can also occur from trickle vents, beading, and heavily soiled frames, however, in most cases, this will cease after a couple of cleans, once the dirt is removed fully from the frame areas.

Notification

RB External Cleaning Solutions will send an SMS Text message the evening before the day of cleaning to remind you to unlock your gates and close your windows/vents for the day.

This message is automated and cannot be replied to.

Any cancellation notice received after this text message will not be acted upon.

Law

These Terms are governed by the laws of England and Wales and are subject to the exclusive jurisdiction of the Courts of England and Wales.
